Your boss might ask an AI tool the same thing you do, but get a completely different answer—not because the AI is broken, but because they asked better. When you're documenting a difficult conversation with a manager, or creating a record of something that happened, the quality of your AI output directly affects how credible your documentation looks. A vague prompt gives vague answers. A detailed prompt gives professional, specific answers.

The basic technique is simple: give the AI three things. First, tell it what role to play ("You are a professional workplace documentation specialist"). Second, give it the exact situation ("On March 15th, my manager said X in a meeting with Y people present"). Third, tell it what you want as output ("Create a factual summary that would hold up in an HR conversation").

Common Mistake

People think "the more detail, the better." Actually, the right detail matters. Don't dump your entire email chain and hope the AI figures out what you need. Instead, pull out the key facts and ask for one specific thing.

The difference between a weak prompt and a strong one is like the difference between "help me" and "help me write a three-paragraph summary of what happened on this date, focusing on these three facts." The second one is going to give you something you can actually use at work.

Try this: Take a workplace situation you're dealing with right now. Write it out for an AI tool three times: once vague ("my manager was mean"), once with more detail, and once with your role and desired output clearly stated ("I'm documenting this for HR. Write me a neutral, factual summary of what happened on [date] based on these facts..."). Compare the three outputs. You'll immediately see why prompt engineering matters.
