Why do my customer replies sound stiff and confuse people?
Stiff, confusing replies usually do not come from bad writing. They come from trying to sound professional instead of trying to be understood. When we are unsure, we reach for formal, padded language, and it puts distance between us and the person, which reads as cold and hard to follow. The fix is to write closer to how you would say it out loud to one person. Picture the actual customer, and answer the way you would help a friend who asked. Lead with the answer, not the throat-clearing. Say what to do in plain words. Short sentences. One idea each. Confusion drops fast when you stop hedging. Before you hit send, reread it and ask one question: if I got this, would I know exactly what to do next? If not, cut a sentence or make the ask clearer. You do not need bigger words. You need to be the easiest message in their inbox to understand.
