Why do we keep sending the wrong export format?

You open the export menu, pick what looks right, and send the file. Later someone tells you it was wrong. You blame the software, the instructions, or a late night. None of that changes what happened: the wrong file went out. When you work with others, this gets worse, not better. Everyone assumes someone else checked the settings. No one owns the last look before delivery. That gap between people is where the error lives — not in the export panel. Strip away the excuses and what remains is simple: you need one written standard, one person who checks it, and one moment before sending where someone actually looks. This is within your control. Choose to build it.

The settings themselves are simple to teach; the harder, more useful work is building the shared habit of checking before anyone hits send.

What’s really going on

The wrong format is not bad luck. It is a missing agreement. Choose one person to own the export checklist before each job, write the settings where everyone can see them, and check the file against that list before you send. Confusion ends when you stop guessing and start checking.

A moveWrite the exact export settings required for each job in one shared document, not in anyone's memory.
A moveAssign one person per project as the final checker before delivery — a name, not 'whoever has time.'
A moveBuild a two-minute checklist: file type, resolution, color space, naming. Check it every time, even when you are sure.
A moveRun a test export on any new job type before the real deadline, so the first check is not under pressure.
A moveWhen a wrong format slips through, hold a five-minute review that fixes the checklist, not the person.

What changes unlock by starting

  • The team stops guessing at settings and works from one shared standard.
  • Wrong-format deliveries drop because someone checks before the file goes out.
  • Blame shifts from people to the process, so the team fixes the gap instead of arguing.
  • New members learn the standard fast because it is written down, not passed around by memory.
