Why do things keep falling through with our vendors?

You think you have a vendor problem. You don't. You have a memory problem dressed up as a vendor problem. Every detail — who owes what, by when, to whom — is living only in your head, or scattered across texts and emails no one else can see. That is not a system. That is hoping. This gets worse when others are involved. Your pod each holds a different piece, and none of you can see the whole. So things fall, and every fall feels random, like bad luck. It isn't luck. It's the absence of one shared place where the truth lives. You don't need to try harder. Trying harder is what you've already been doing, and it hasn't worked. You need one list, visible to everyone, that holds what your minds keep losing. Build that, and the overwhelm has nowhere left to hide.

The core idea — externalize it, don't memorize it — is simple and stated once; most of the value is in doing it with your pod this week.

What’s really going on

The vendors aren't the problem. Your head is. You're storing every detail in memory, and memory drops things without warning. Write it down in one shared place instead. Choose a list over your mind. A system catches what no amount of worry ever will.

A moveToday, write every open vendor task in one place your whole pod can see — not four places, one.
A moveName one owner for each vendor. Not the group. One person.
A moveSet a fixed 15-minute weekly check against the list, instead of worrying about it daily.
A moveBefore you agree to any new vendor task, ask out loud: where will this live? Don't accept it until you know.
A moveLook back at what fell through last month. Find the missing structure, not the person to blame.

What changes unlock by starting

  • No vendor detail lives only in your head.
  • Your pod can see who owns what, without asking.
  • Dropped tasks show up on the list before they become a crisis.
  • Surprises get rare, because the system remembers what you can't.
One object, two jobs: a public answer to a real problem, and — the moment you start the chat — Aurelius’s live plan for your version of it.
